Office Policies

We are a new clinic. We appreciate your patience and feedback as we grow and adapt.

New patients should have their intake forms, consent forms, etc. completed and signed before their appointment, preferably 24 hours in advance so your provider has adequate time to review your information.

Payment Methods Accepted

For services outside of insurance coverage, including co-pays, we ask that you provide payment at the time of service. While Great Wave requires a credit card on file, we also take payment via check and cash.

Appointments

Appointments can be made at the clinic, through our Online Booking System, or over the phone: 978-577-6451. When you book an appointment at Great Wave, you are reserving your provider’s time.

We ask that you arrive a few minutes before your appointment time so we can begin right on time. If you arrive late, we may or may not be able to extend your appointment time. If you arrive more than 20 minutes late, we may need to cancel your appointment and treat it as a late cancellation.

Late Cancellations:  Life happens, we understand! A late cancellation (made 24 hours or less before your appointment) may not provide us with enough time to re-book your appointment time with someone else. In these cases, Great Wave reserves the right to charge your card on file 50% of the cost of your scheduled treatment. Copays and insurance coverage will not apply. In the event of illness or an emergency, we will not charge a late cancellation.

No-Shows:  If you miss an appointment without notifying us within 24 hours, Great Wave reserves the right to charge your card on file for the full amount of your scheduled treatment. Copays and insurance coverage will not apply. Of course if there is an emergency or illness, we will not charge you!

Multiple late cancellations and/or no-shows:  In cases where a patient has accumulated multiple late cancellations and/or no-shows, Great Wave reserves the right to charge your card on file, for the full amount of treatment, ahead of your appointment. We will notify you of this beforehand.

Insurance Billing

Most insurance plans offer acupuncture and nutrition coverage and you can use HSA to pay. If you’re a new patient, you can enter your insurance information in your intake form or give us a call. Please be sure to include the name of the plan, member ID, and group number if applicable. Great Wave will verify your benefits as quickly as possible and determine copay amount, coverage available, and, if applicable, whether or not you’ve met your deductible. If we are in-network with your insurance plan, Great Wave will take care of the billing for you. If we are not in-network with your insurance plan, we will be happy to produce receipts or a super bill for your own insurance submission.

Most insurance plans do not cover massage therapy. As such, Great Wave does not accept insurance for massage appointments.

  • Veterans Administration Community Care Network (VA CCN)

    After confirming your benefits and available coverage, Great Wave will bill your insurance directly. Patients will assume responsibility for charges that do not fall under insurance coverage. Different plans offer different coverages for acupuncture and some plans will only provide coverage for specific conditions. Should an insurance claim be denied by an insurance company, we will do our best to rectify the situation and resubmit a claim, if necessary, one time. If we cannot address the problem with the insurance company, it will fall to the patient to contact their insurance. Ultimately, if a solution cannot be found, responsibility for payment for treatment falls to the patient and your credit card on file will be charged 60 days after service.

    Out-of-Network Plans

    If Great Wave is not in-network with your insurance plan, we will provide the necessary paperwork for you to submit your own claim AFTER you have verified your coverage for out-of-network acupuncture.
